How to segment webinar no-shows and replay viewers for follow-up
Segment webinar registrants by what they did, not by the list they joined. A no-show, someone who attended, someone who clicked it and someone who watched the replay have shown four different levels of interest, so each needs a different next message. Tag each behaviour as it happens, start a short sequence for each group, and stop the sales emails the moment someone buys.
Start with behaviour, not the registration list
Registration only tells you someone was curious. What happened next tells you how curious. The most useful signals are attendance, how long someone watched, whether they reached the offer, whether they clicked it, whether they bought and whether they came back for the replay. Each one is a fact recorded by the webinar room, not a guess made later from email opens.
That is why follow-up works best when it runs from the webinar platform itself. When the room and the email tool are separate, someone has to export the attendee list, match it to the email list and upload it, and the message that should have gone out within the hour goes out the next day.
The five groups every webinar produces
Most webinars split into the same five groups. The table shows what each did, what to send and what the message is for.

What to send no-shows
No-shows registered, so the interest was real; the timing wasn’t. Send the replay quickly, lead with the single most useful idea from the session, and give them a reason to watch before the replay closes. A text reminder before the next live or automated session helps the people who never open email. Keep the offer out of the first message; the replay does the selling.
What to send attendees and replay viewers
Attendees saw the session live, so the recap should lead with the offer and why it fits what they watched. Replay viewers have shown more intent than no-shows: they came back on their own. Treat them like attendees, point them to the next step and give the replay a clear deadline.
Where offer-clickers go next
An offer click is the strongest signal short of a purchase. Send a short reminder sequence while the offer is open, answer the objection the webinar raised, and for a high-ticket offer, put them in front of a person. When they buy, move them to an onboarding sequence so they stop receiving sales emails.
